<Job Responsibilities>
1. Administration duties
• Handle flight and hotel/ Car Booking for regional members' visits.
• Maintain up-to-date information on hotel rates to all employees and update the Intranet.
• Work with vendors on immigration process and documents.
• Monitor and purchase stationery and pantry items timely.
• Manage vendor contracts & payments related to Admin.
• Forecast operation budget annual
• Support upload contract via DocuSign
• Manage admin internal reporting.
• Admin document management
• Company sharing folder management
• Other ad-hoc duties
2. Expats assistant
• Working as Expat assistant
• Handle work permits and residence cards for expats.
• Agenda arrangement for VIP visitors
3. Facility Management reports
• Coordinate with the FM assistant to complete the FM reports and related tasks.
4. IT Support
• Administrative preparation for IT internal reviews, audits, and checks.
• Periodic reporting to Regional HQ on IT-related matters.
• Assist RHQ in administering IT standards.
• Prepare and submit IT reports as required by RHQ.
• Other ad-hoc duties.
5. Legal & compliance support
• Support the RHQ Legal team in document preparation and follow-up.
• Document stamp
• Keep the company's legal documents safe.
• Follow up compliance activity plan with RHQ.
• Complete compliance reports as required by RHQ.
• Other ad-hoc duties.
<Necessary Skill / Experience >
・Education: Bachelor's Degree, major in Business Administration or a similar discipline from a recognized university.
・Language: English - Business Level
・Experience:
- At least 3 years of working experience as Admin Staff in MNC companies
- Experience supporting and/or managing the coordination and execution of the Annual Operating Plan, monthly and quarterly forecasting with HQ Team and other department
・Competencies:
- Ability to complete multi-tasks within stipulated timeline
- Familiar with the procurement process, company legal issues and registration advantages, and compliance commitment.
・Personal characteristics:
- Honest, discreet, and with a high level of integrity
- Able to work independently as well as collaborate with teams
- Analytical with attention to detail, operating to a high degree of accuracy
- Creative and problem-solving
- Fast learner
- Computer literate (MS-Words, Excel, PowerPoint)
